How Notebooker handles your data.

Notebooker (“we”, “us”, “our”) provides an AI-powered notebook service available at notebooker.ai and app.notebooker.ai, along with companion browser extensions and desktop, mobile, and command-line clients. This Privacy Policy explains what we collect, how we use it, and the choices you have.

By using Notebooker you agree to the practices described below. If you do not agree, please do not use the service.

What we collect

Account information. When you create an account we store your email address and an encrypted password (or, if you sign in with a third party such as Google or Apple, the identifier they return to us). We may also store a display name and profile image if you choose to provide them.

Content you save. Notebooker is, by design, a place to keep things — links, notes, PDFs, audio files, transcripts, and the chats and podcasts you generate from them. We store this content so we can show it back to you across your devices.

Usage data. We log basic events about how the service is used (pages viewed, features triggered, error reports, approximate location derived from IP). We use this to keep the service running, debug issues, and improve the product.

Billing data. If you subscribe to a paid plan, our payment processor (Stripe) handles your card details directly. We never see or store your full card number; we receive only a token and limited metadata such as the last four digits, brand, and country.

Cookies and similar technologies. We use a small number of essential cookies to keep you signed in and remember your preferences. We do not use third-party advertising or cross-site tracking cookies.

How we use your data

We use the information described above to:

  • Run the service: store your notebooks, sync across devices, generate AI responses and podcasts, and deliver the features you use.
  • Communicate with you: respond to support requests and send important account or service notices. Marketing emails are opt-in and you can unsubscribe at any time.
  • Keep things working: monitor uptime, investigate bugs, prevent abuse and fraud.
  • Bill you for paid plans.
  • Comply with our legal obligations.

AI services and data processing

Notebooker’s core features are powered by third-party AI services. We ask for your explicit consent inside the app before any of your content is sent to them, and you can review this section at any time to understand exactly what is shared.

What we send. When you use an AI feature, the relevant content is sent for processing. Depending on the feature, this includes: the text of the sources and notes you open, your chat prompts and the source context retrieved to answer them, your search queries, and any audio or content you turn into transcripts or generated podcasts. Content is sent only when you trigger a feature that needs it, not in the background.

Who receives it. By default, your content is sent to Notebooker’s AI gateway, which we operate on Cloudflare, and on to the AI model providers behind it (which may include providers such as Meta’s Llama models, OpenAI’s Whisper for transcription, and other hosted models) so they can return a result. This is the path used when you rely on Notebooker’s included AI credits.

If you supply your own API keys in Settings, your content instead goes directly to the provider you configure — for example OpenAI, Anthropic, Google, Groq, Mistral, DeepSeek, xAI, OpenRouter, ElevenLabs, Deepgram, or Voyage AI — under your own account with that provider, and we do not retain the request or response server-side beyond what is necessary to display the result to you.

How it’s used and retained. Providers process your content only to return the result you requested — answers, summaries, embeddings for search, transcriptions, and generated audio. Hosted requests may be retained briefly by the provider and our gateway as needed to deliver and cache the result; when you use your own keys, retention is governed by your agreement with that provider. We do not sell, rent, or otherwise share your content with model providers for the purpose of training their general-purpose models, and we ask our providers to honor the same.

Your control. AI features run only after you accept the in-app disclosure. You can keep your content off Notebooker’s servers entirely by using your own API keys, and you can delete individual chats, notes, and sources at any time.

Service providers and sub-processors

We rely on a handful of vendors to operate the service, including hosting (Laravel Cloud, Cloudflare), payment processing (Stripe), transactional email, and the AI providers you choose to use. These vendors process data on our behalf under written agreements and are not permitted to use it for their own purposes.

Sharing your data

We do not sell your personal information, and we do not share it with advertisers. We may share data only in the limited circumstances below:

  • With service providers as described above.
  • With other people you explicitly share content with (for example, a public notebook link you create).
  • If required by law, regulation, legal process, or a valid governmental request, or to protect the rights, property, or safety of Notebooker, our users, or the public.
  • In connection with a merger, acquisition, or sale of assets, in which case we will give you notice before your data is transferred and becomes subject to a different privacy policy.

How long we keep your data

We keep your account data and content for as long as your account is active. If you delete an item, we remove it from active systems promptly, though copies may remain in backups for a limited period before being overwritten. If you delete your account, we delete or anonymize your personal information within a reasonable time, except where we are required to retain something for legal, accounting, or fraud-prevention reasons.

Your choices

  • Access and export. You can view your content in the app at any time, and request an export by emailing us.
  • Correction. You can update your profile from inside the app, or write to us if something we hold about you is wrong.
  • Deletion. You can delete individual items, or your entire account, from inside the app.
  • Email preferences. You can opt out of marketing emails using the unsubscribe link in any such message; account and security notices are not optional.
  • Regional rights. Depending on where you live (for example, the EEA, UK, California), you may have additional rights under laws like GDPR or CCPA — including the right to object to processing, restrict processing, or lodge a complaint with a regulator. Security

We use industry-standard measures to protect your data, including TLS in transit, encryption at rest, scoped access controls, and routine review of our infrastructure. No system is perfectly secure, and we cannot guarantee absolute security, but we work hard to keep your information safe.

Children

Notebooker is not directed at children under 13 (or the equivalent minimum age in your jurisdiction), and we do not knowingly collect personal information from them. If you believe a child has provided us with information, please contact us so we can remove it.

International transfers

Notebooker is operated from the United States, and your data may be processed in countries other than the one you live in. Where required, we rely on appropriate safeguards (such as standard contractual clauses) for international transfers.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we’ll update the “Last updated” date at the top, and for material changes we’ll provide a more prominent notice (for example, by email or an in-app banner).
